Ophthalmic Assistant

We are seeking an Ophthalmic Assistant who wants to make a difference, to contribute to our success and is committed to providing exceptional service. This position assists the provider in delivering patient care; should be able to perform visual acuities, diagnostic and specialized testing, administration of medication, injections, and assist with minor procedures and laser treatments.

Essential Functions and Responsibilities

Exam

Document chief complaint, medical history, medications, present illness, review of systems, and relevant findings from patient
Ensure prior authorizations are cleared for specialized testing and procedures
If not cleared, contact verification team to get authorization prior to proceeding
Educate patients of any delays
Document physician findings and treatment plans in chart; attach all pertinent photos and test results, as required
Perform testing on patients, as needed; assist physician with testing, as needed
Perform minor procedures on patients, as directed by physician; assist physician with minor procedures, as directed by physician
Remove bandages, sutures, and other wound coverings
Testing
Employee should be able to perform the following tests accurately and efficiently:
- Visual acuity measurement
- Color vision testing
- Lensometry
- Keratometry
- Pupil function testing
- Tonometry
- Refraction
- Confrontational Visual Field
- Evaluation of EOMs
- Automated and Manual Perimetry
- Ocular Motility
- Ultrasonography (A-scan & B-scan)
- Ophthalmic Photography (OCT and Topography)

Other

Recommend additional products/services ECOF offers to patients
Complete all assigned tasks in Practice Management
Audit charts daily
Attend all continuing education and training, as required
Works a rotational Saturday schedule, as required
Regularly travels with MD to satellites during scheduled rotation
Willing to travel and work in different locations as business needs arise, from time to time

Minimum Qualifications

Education: High School Diploma/GED required.
Experience: 3+ years of experience in hands-on medical/surgical setting preferred. Experience in Ophthalmology and/or optometry highly preferred.

Strong organizational skills and a demonstrated ability to work well under pressure
Effective oral communication skills: demonstrated ability to work cooperatively with internal and external customers; requires tact, diplomacy, and empathy

English proficiency required; bilingual preferred

Optical Dispenser

We are seeking an Optical Dispenser who wants to make a difference, to contribute to our success and is committed to providing exceptional service. This position will fill ophthalmic eyeglass prescriptions, fit and adapt frames, fit and adapt lenses, as well as complete the duties outlined below.

Essential Functions and Responsibilities

Evaluates prescription in conjunction with client’s vocational and avocational visual requirements
Recommends specific lenses, lens coatings, and frames to suit client needs
Assists client in selecting frames according to style, color, size, coordinating frames with facial and eye measurements, and optical prescriptions
Prepares work orders and instructions for grinding lenses and fabricating eyeglasses
Enters prescription orders to all appropriate outlets for order processing
Verifies finished lenses are ground to specification
Responsible for fitting, adjusting, and repairing eyewear accurately
Instructs clients in adapting to, wearing, and caring for eyeglasses
Does I&R’s; dispenses contacts
Sells optical goods, such as Plano sunglasses, magnifying glasses, and low vision aids
Manages difficult or emotional customer situations; responds promptly to customer needs and requests for service and assistance in a timely manner
Greets all clients immediately upon entering the location; maintain a positive attitude towards patients, vendors, and staff

Customer Service Representative

We are seeking a Customer Service Representative who wants to make a difference, to contribute to our success and is committed to providing exceptional service. The Customer Service Representative is responsible for greeting and welcoming all patients, vendors, and staff who enter the building. They are knowledgeable and helpful at check-in, check-out, and generalized inquiries. This position can schedule/reschedule patients, verify insurance, obtain authorizations, collect payments, confirm and call back appointments.

Essential Functions and Responsibilities

Customer Service

Greets all patients/visitors in a kind, professional manner
- Uses the appropriate prefix (ie. Dr. Mrs. Ms. etc.)
- Follows visitor policy and maintains visitor log
Answer incoming calls; screen and schedule according to protocol
Maintain original forms used for patients
- Pull Master copies for purchasing and printing
- Check forms for updates and ensure there are no errors
- Forward issues to appropriate authority, as needed
Maintain copier supplies including white and colored paper, ink and toner, and waste toner kits
Print current phone listing of departments and locations phone extensions, post in location for personnel access
Handles incoming faxes in a timely manner and according to protocol
Maintains and balances petty cash; performs bank deposits as needed
Attends CSR meetings as required
Works rotational Saturday schedule
May be required to travel

Check-In

Monitors sign-in sheet and schedules for incoming patients, processes timely
Verifies insurance information and required signatures are updated per protocol
Verifies patient demographics are updated and accurate
Checks patients into Practice Management system according to best practice guidelines
Verifies insurance authorizations are obtained prior to patient being seen
Follows up on no-show appointments according to protocol
Kindly remind patients of co-pays, previous balance(s), and possible expenses
Educate patients on the purpose of the visit, and what insurance is used for billing

Check-Out

Processes patients checking out from visits
Post charges with accuracy in Practice Management system according to best practice guidelines
Schedule follow up appointments or enter recall into system per protocol
Collect payments from patients
Balance and post batch information with accuracy, daily
Process deposits daily according to protocol
Scan patient notes to medical records timely
Pull and prepare patient charts for next business day
